Working at Stirling: frequently asked questions

Starting

  • When will I get paid?
  • What pension scheme will I be part of?
  • How much annual leave will I get?
    • Annual leave (full time entitlement) is 29 days (for grades 1-5) and 34 days (for grades 6-10) with an additional 10 fixed Public/University holidays. Pro rata for part-time staff.
  • What are the employee benefits?
  • What is my probation period?
    • Your probationary period will be detailed within your contract.
  • How many hours do I work per week?
    • Full time for grades 1-5 is 36 hours per week, grades 6-10 the hours of work are undefined.  If you are part time, your hours of work will be detailed in .
  • How do I get my staff smart card?
    • You can come to HR and OD Services (Room 4B1, Cottrell Building) from your second day of employment and we can take your photo and issue your card.
  • How do I get a parking permit?
    • An application for a parking permit can be made on your first day using the University portal.

Working

  • When will my salary increase?
    • Annual increments are granted on 1 August annually until the maximum of the scale is reached, subject to six months service in the grade (whether the grade has been attained by appointment, promotion or regrading).  Salary scales are currently subject to annual review with effect from 1 August each year.
  • How do I calculate holidays and request annual leave?
    • Normally leave requests are dealt with locally, your Facultyl/Service administrator can help calculate your annual leave, or contact HR
  • What do I do if I am off sick and how do I find out my sick pay entitlement?
    • Further information can be found in your , or you can contact payroll.
  • What do I do if my child/dependent is sick?
    • Contact your line manager, you may be able to take paid or unpaid leave
  • Who do I contact if I have an issue with my salary?
    • Contact your line manager or Faculty/Service administrator in the first instance, if they cannot help contact payroll.
  • How do I change/update my personal details?
    • Some details can be updated via the portal, alternatively complete the change of and return to HR.
  • I’m expecting/adopting a child, where can I find out about maternity/paternity/adoption leave?
    • The policies and guidance section can provide more information about leave.
  • How can I apply for promotion?

Retirement

If you decide to retire from your post, you should firstly notify your line manager in writing. Please bear in mind your contractual notice period when agreeing on a retirement date, this can be found in your terms and conditions.

Your manager will then notify HR Services by completing a form. We will then write to you to acknowledge your retirement and also ask you to complete an exit questionnaire.

You may be entitled to any outstanding annual leave that cannot be taken before your retirement date, if agreed by your line manager.

Leaving

  • What is my notice period?
  • Who do I notify of my intention to resign?
    • If you decide to resign from your post, you should firstly notify your line manager in writing.
  • When will I receive my P45?
    • Shortly after your final monthly pay.
  • What happens to my outstanding annual leave?
    • Where possible you should try to use any outstanding leave before you finish, though it may be agreed to receive this in your final salary if it cannot be taken before your end date.

End of fixed term contract

If you are employed on a fixed term contract your manager will offer to meet with you to discuss the end of your contract before notifying HR Operations on a form. We will then write to you to confirm the end of your contract and also ask you to complete an exit questionnaire.

You may be entitled to any outstanding annual leave that cannot be taken before your end date, if agreed by your line manager.

Resignation

If you decide to resign from your post, you should firstly notify your line manager in writing. Please bear in mind your contractual notice period when agreeing on a leaving date, this can be found in your terms and conditions.

Your manager will then notify HR by completing a form. We will then write to you to acknowledge your resignation and also ask you to complete an exit questionnaire.

You may be entitled to any outstanding annual leave that cannot be taken before your end date, if agreed by your line manager.

Last day at work

On your last day you will be required to:

  • Return your staff Smart Card to either your line manager or HR and OD (Cottrell 4B1)
  • Return your parking permit to the Car Parking Office (Cottrell 4Z2)
  • Return any University property and office keys to your line manager
