In accepting these Terms and Conditions, the student making a booking is accepting responsibility for the compliance with these terms of all individuals attending/participating in the activity taking place at the booked room. These terms and conditions should be read and understood alongside the University’s Student Terms and Conditions.
Bookings must only be made for activities related to a student’s studies with the University of Stirling.
All rooms, as all University space must be used in a way that could not cause a nuisance to other University users, damage the room or could to bring the University into disrepute.
Rooms must not to be used for any profit-making activities or commercial gain.
Noise levels must be kept to an acceptable level and must not impact on others.
Furniture and equipment in a room must not be moved out of the room. If a room is found to be in an unsatisfactory condition, this can be reported within the University by telephoning extension 2444.
If the booking requires food and refreshments, these must be provided by the University’s appointed catering service provider. Booking with any alternative external caterer is not permitted however in exceptional cases where an alternative catering provider is required these arrangements will be handled by Commercial Services. Food and drink not for your personal consumption must comply with the University Catering Policy.
If your event involves an external speaker or organisation you must provide full details of this on the online booking form. Approval of the event will be at the discretion of the Students’ Union and the University of Stirling who may require you to provide more information.
Where a room booking is being sought for an activity which will be open to members of the public prior permission for this must be obtained from the University through the Timetabling, Exams and Graduation Team. Where such prior permission has not be obtained, the room booking should not be made and the activity must not go ahead. Permission must be sought at least five working days in advance of the intended date of the activity/booking.
The maximum capacity of the room must not be exceeded.
Any activity that could lead to personal injury or harm or that may damage equipment or property is prohibited within University rooms and spaces.
Fire exits must be kept clear at all times and all those attending the room being booked should familiarise themselves with the fire evacuation route poster displayed as soon as they enter the room.
Any individual wishing to bring their own items of electrical equipment onto campus and use them in the room being booked should ensure that each item has been tested by a qualified electrician and that confirmation of this testing is available.
The University shall not be liable for any damage to or loss of goods or property brought into a room by those persons attending the booked session.
At the end of a booking it is essential that: any whiteboards or chalkboards used are cleaned; any rubbish is placed in a bin or otherwise removed from the room; log off from IT / AV equipment is completed; the rooms is vacated on time; all individuals using the room leave the room quietly and that the furniture within the room is returned to the layout as per the room layout diagram on the wall.
Any papers remaining in a room after a booking will be treated by cleaning staff as litter for disposal.
The University reserves the right to cancel a confirmed room booking.
The University reserves the right to remove student access to the online room booking system where a student is found to have breached the Room Booking Terms and Conditions.
If a booked room is no longer required the person who made the booking is required to cancel the booking online.
