Ascertaining the availability and the subsequent management of space is an important part of the Property Management Service. Comprehensive departmental records must be updated on an annual basis to assist in determining supply and demand of any vacant space.
There is a constant pressure on space with departments continually expanding and contracting and we must be able to provide details of availability on request and prioritise this vacant space. The Space Records also form an integral part of submissions to various administrative bodies including funding councils.
We also undertake surveys of centrally timetabled rooms twice annually to investigate how well used these rooms are both from a frequency and a capacity aspect. These surveys are completed by postgraduate students and these analysed results are used both internally and by other outside bodies as mentioned above.
CAD drawings are maintained for each university building and are linked in to the university's asset management and service desk system, Archibus.
We liaise with the Faculty/Service Areas within the university to provide information that is used to benchmark against other HEIs, for example EMR (Estates Management Records).
